How to Set Up Email Notifications in NIVA
NIVA can send automated email notifications to your team whenever a key event happens — a new lead captured, a form submitted, a conversation escalated to a human agent, or a daily summary of activity. Configure once and stay on top of everything without checking the dashboard.

Step-by-step setup
Open Email Configuration
- Log in to your NIVA botmaster dashboard
- Navigate to Settings → Email in the sidebar
Set Notification Recipients
- Enter the primary Notification Email address
- Optionally add CC addresses (comma-separated) for additional recipients
- Set a From Name — this appears as the sender name in your inbox
- Optionally set an Email Subject Prefix (default:
[Bot Alert]) for easy filtering
Use a shared team inbox (e.g. team@yourcompany.com) so multiple people get notified without listing each individually.
Choose Notification Triggers
- Toggle Notify on New Lead to get an email each time a user qualifies as a lead
- Toggle Notify on Form Submission to get form responses emailed to you
- Toggle Notify on Escalation to alert when the bot hands off to a human agent
- Toggle Daily Summary for a morning digest of yesterday's chat activity
- Toggle Weekly Report for a weekly overview of conversations and leads
Add an Email Signature (Optional)
- In the Email Signature field, enter any footer text to append to notification emails
- Useful for including your company name, support contact, or unsubscribe information
Save and Test
- Click Save to apply your configuration
- Click Send Test Email to verify delivery
- Check your inbox — the test email should arrive within a minute
If the test email lands in spam, ask your email admin to whitelist the NIVA sending domain.
Troubleshooting
Test email not received
Check spam folder. Verify the email address is correct. Check that NIVA's sending domain is not blocked.
No lead notifications despite leads in dashboard
Ensure "Notify on New Lead" is toggled on and saved.
Emails going to spam
Ask your IT team to whitelist the NIVA sending domain or add an SPF/DKIM entry.
